Administration Executive

For growing up our business next year, we are looking for some Payroll Delivery Consultant with the following detailed descriptions:

Main purpose of the position:

To be totally responsible and accountable for Human resource and Administration activities

Key Responsibilities:

Receptionist (30%):

  • To hanlde incoming telephone calls. Take messages/or transfer calls to Person In Charge
  • To serve drink to guests
  • To be responsible for tracking incoming and outgoing documents
  • To update employee contact list
  • To received meeting room bookings and set up meetings upon request
  • To follow up tracking record of Taxi Card, Assess Card, Office Key, ect.
  • Carry out other assigned HR tasks upon request

Administration (50%):

  • Working Enviroment
  • – To take care of office sanitary
    – To take care of all office equipments
    – To ensure office security and safety
    – To conduct annual Office Stocktaking

  • Stationary and Office Equipments
  • – To be responsible for receiving stationery orders and delivery
    – Manage and follow up maintaining, repairing telephone system, telephone billing system, in/out checking system and manage employee cards, printers, Scanners, projectors
    – Tracking and manage all company properties

  • Events/Siminars Preparation
  • – To support internal team building and Marketing events/campaigns in logistics
    – Preapare the Happy Hour

  • Business Trips preparation
  • – To support business trips in logistics Hotel, ticket, booking, transportation, VISA, etc.)

  • Filling
  • – To be responsible for Admin filling

  • Time Management
  • – To prepare monthly TimeSheet
    – To cross Check and file Leave Application
    – To collect requirements documents for new hire

  • Admin Cost Control
  • – To Claim and track all kinds of Admin fee
    – To control the admin cost : power, stationary,etc..

    Recruitment (5%):

    • To Collect personal requisitions from Dept Heads (Non-managers positions)
    • To Search and collect CV of candidates, preliminary selective.
    • To Contact candidates, arrange interview schedule.
    • To Interview candidates on level junior/ senior.
    • To Follow up recruitment process
    • To Set up Recruitment Process between HR and other departments
    • To Work with Dept Heads to prepare all Job Descriptions
    • To Develop Recruitment process with typical tests on profession and personality
    • To Keep develop network and relationships for Recruitment database
    • To Assist Outsourcing Department and Talent events in recruitment activities upon request

    Compensation and Benefit (10%):

    • To Prepare monthly Report on SI-HI-UI, and Labor and support all administration tasks for personal income tax such as Tax reciept preparation and issuance
    • To Maintain good relationship with authority organizations such as Social Insurance State, Labor Dept and Tax Dept
    • To Maintain and develop Depts’ policy, together with Dept Heads
    • To Receive and resolve or inform to HRA Manager for any Staffing issues
    • To Understand company values, code of conducts and code of ethics to create a typical company culture via all HR teambuilding activities and programs

    Training and Developing (5%):

    • To Conduct Company Orientation for new staff (Non-manager staff)
    • To Set up Training process and policy
    • To Define and analyze internal Training needs for Non-manager staff
    • To Prepare content and coordinate to set up all Sharing Hours/ Training courses based on Training needs
    • To Update, optimize and develop Knowledge Center
    • To Work with Dept Heads on Probation Training Program for Non-manager staff
    • To Set up Talent Development Program for Non-manager staff
    • To Prepare back-up plan for key positions / Maternity Coverage Plan for women staff during maternity leave

    Job Requirements:


    • Graduated from University
    • Solid background in Human resource management for 3 years


    • To Excellent communications skills (both English and Vietnamese)
    • To Staffing skills
    • To Be able to work under minor supervision
    • To Strategic thinking and innovative
    • To Good presentation and negotiation skills
    • To Good at planning
